For an event to be successful, it must have the cooperation of a number of government agencies and key community bodies, which offer guidance, grant permits and assist in ensuring that the venue is safe for the public. Central Sydney Operations Group

The Central Sydney Operations Group (CSOG) is an events-based interagency group. It is part of the NSW Government's strategy to enhance events for the community and visitors. Senior operational personnel from almost 40 NSW Government agencies meet to share information and identify issues related to the staging of events in Sydney, particularly those in the city centre and on the harbour foreshores. 

CSOG provides a forum for a cooperative, coordinated approach between agencies. It is a conduit for organisers of approved events to communicate with government agencies about the possible impacts of the event on government infrastructure and operations. The agencies identify unresolved issues that are addressed in smaller, working groups. CSOG conducts debriefs following major events in order to continually improve event effectiveness, efficiency and safety.

CSOG is convened by the NSW Department of Premier and Cabinet.

Roads and Traffic Authority (RTA)

All events that have an impact on major traffic and transport systems require the RTA's involvement. The RTA supports both on and off-road special events by ensuring that appropriate traffic management arrangements are in place and that disruptions to road users are minimised.

Ministry of Transport

The Ministry of Transport coordinates public transport services for major events by liaising with event organisers, venue operators and other key agencies.

NSW Police Service

The NSW Police Service should be advised of all special events. Its role is to protect life and property and it is responsible for the control of crowds and traffic at major events.

To determine the level of supervision a proposed event requires, the Police Service needs to know certain details such as anticipated crowd numbers, names of invited dignitaries, emergency management procedures, safety plans and transport facilities.

Ambulance Service of NSW

The Ambulance Service of NSW lends support to various events throughout the state. This support includes the provision of highly-trained ambulance personnel, as well as hospital transports and management infrastructure should the event warrant it.

The Ambulance Service will advise on the number of ambulances required for an event, the costs of providing ambulances as well as the promotion of safety messages for event patrons.

 St John Ambulance Australia (NSW)

St John Ambulance Australia (NSW) provides volunteer first aid services to major events. Professionally-trained first aid volunteers and medical staff provide immediate first aid care to spectators and event patrons using skills ranging from basic first aid to advanced medical care. The Service can also arrange first aid training for event staff and provide first aid and medical supplies to ensure Occupational Health and Safety requirements are met.

Public events requiring qualified first aid volunteers in attendance should register their request with St John Ambulance Australia (NSW) no later than six weeks before the event. A donation for hours worked is appreciated.

Department of Environment and Conservation - Sustainability Programmes Division

The Waste Wise Events program aims to minimise the amount of waste going to landfill and increase the recovery of resources at events. This happens as a direct result of implementing effective Waste Wise Event strategies during the event planning process. These steps are known as the 7 steps to a Waste Wise Event. NSW Health

NSW Health is responsible for providing the people of NSW with health care, advice and leadership on health issues.

NSW Health recommends that people attending major events plan ahead and take simple steps to ensure a fun and safe experience, like drinking plenty of water, wearing sensible shoes and applying sunscreen. People who are injured at a major event should contact a local GP or, for more serious injuries, a hospital emergency department or the NSW Ambulance Service on 000.

Bureau of Meteorology

The Bureau of Meteorology provides information on weather conditions enabling event organisers to plan effectively and ensure the comfort and safety of participants, spectators and volunteers alike.

Depending on the scale of the event, services can range from providing forecasts and warnings to posting a meteorologist at the event.

Volunteering NSW

Volunteering NSW is the key volunteering body working closely with the NSW Government, business, event organisers and not-for-profit organisations to provide skilled and enthusiastic event volunteers for major NSW events. Corporate, youth and senior volunteering programs provide a pool of valuable volunteers for the Sydney Major Events Volunteer Pool and general volunteering opportunities. The Volunteer Referral Service and School of Volunteer Management are also operated by Volunteering NSW.

NSW National Parks and Wildlife Service (NPWS)

The NPWS website provides all general park information including special events closures, safety and regulatory messages. Detailed information is available on request for all venues available for hire.

Venues include Rodd, Shark, Clark and Goat Islands, Fort Denison, The Gap Bluff Centre (at Watson's Bay), The Quarantine Station (at Manly) and many other unique sites in and around Sydney.

Sydney Harbour Federation Trust

The Sydney Harbour Federation Trust is rehabilitating seven lands around Sydney Harbour: the North Head Artillery School, Middle Head-Georges Heights-Chowder Bay in Mosman, Woolwich Dock, Cockatoo and Snapper Islands, Macquarie Lightstation and the former Marine Biological Station at Watsons Bay.

Sydney Harbour Foreshore Authority is responsible for the commercial and public management of The Rocks and Darling Harbour. The Foreshore Authority also manages the Circular Quay promenades, the Conservatorium of Music and King Street Wharf promenade.

Sydney Ports Corporation

The Sydney Ports Corporation needs to be advised when an event is likely to affect navigation or commercial port operations in the Harbour, or if the event organisers seek to use land owned by the Corporation. 

The Corporation provides information and guidance to event organisers in relation to Harbour regulations, availability, fees, permits and the terms and conditions for site use.

Event organisers seeking to use Sydney Ports Corporation owned or adjoining land that might impact on commercial port operations should apply for the relevant permits and consents no less than four weeks before the event's proposed start date. Enquiries should be directed to the Sydney Ports Property and Planning Unit or the Marine Operations Unit.

NSW Maritime 

NSW Maritime is the lead agency in the management and coordination of major aquatic events on Sydney Harbour, providing on-water crowd management, navigation restrictions, exclusion zones and aquatic event licences, as well as liaison with key harbour stakeholders.

The agency provides permits for aquatic events held on all waters in NSW.

Organisers of events that will have an impact on NSW waters should apply for an aquatic event licence at least six weeks before the proposed start date of the event.
